Online meetings

We currently use Google Meet because it offers free telephone access and no practical restrictions on call duration or number of participants.

  • Use your computer, smartphone, or tablet for video and audio.
  • Use a telephone for audio only.
 

Accept an online meeting invitation

A meeting invitation will come as an e-mail with an option to accept the meeting and add it to your online calendar (Google, Hotmail/Outlook, Apple, etc.). Accepting the meeting usually deletes the e-mail.

Join an online meeting

On a computer, smartphone, or tablet, you may choose to use your camera (if available) so others can see you and to share your screen so others can see it. See the image below for more details.

At least one person must join while signed in to their CAF Rainier account to open the meeting (unit staff and authorized members). If you are not signed in with a CAF Rainier account, someone who is will have to let you in manually.

On a Windows PC or Apple Mac, you will join using a web browser. Click the link in the meeting invitation to join.

Officers and authorized staff: Look at the top right of the browser page and ensure that you’re signed in with your CAF Rainier account. If not, click “Switch account” and sign in with your CAF Rainier account.

On an Apple iPhone/iPad or Android phone/tablet, you will join using the free mobile app – download it here. Tap the link in the meeting invitation to join. (You may need to then tap an Open button if a web page shows.)

Officers and authorized staff: Check that you’re signed in with your CAF Rainier account. If not, tap Switch and sign in with your CAF Rainier account.

  1. Dial the number in the meeting invitation.
  2. Enter the PIN from the meeting invitation, including the ‘#’.

You should automatically enter the call.

Schedule an online meeting

Staff with a CAF Rainier account can schedule online meetings using our Google Meet code.

Remember that someone must join while signed in to their @cafrainier.org account to open the meeting.

Officers site

Officers and other authorized staff have accounts in our Microsoft 365 cloud platform, which stores our shared files, notes, and calendar.

SharePoint website

The SharePoint website provides access to everything. You may access the shared documents and notebook and sync both (keep a live copy) to your computer, phone, or tablet.

You must use this method on a Windows PC or Apple Mac.

You may use this method on a phone or tablet, but the mobile app is a better experience (see item below).

  1. Go to http://members.cafrainier.org
  2. Enter your username (your Rainier Squadron e-mail address, such as johndoe@cafrainier.org)
  3. Enter your password

If you choose to stay signed in, you won’t have to enter the username or password next time.

To view and edit the shared documents or notebook, click Documents near the top of the SharePoint site. On a phone or tablet, you may need to first click the ≡ menu button near the top.

On Apple iPhone/iPad or Android phone/tablet, download the free app here.

Open the app to sign in the first time:

  1. Tap “Sign in to SharePoint Online”
  2. Enter your username (your Rainier Squadron e-mail address, such as johndoe@cafrainier.org)
  3. Follow the instructions to enter your password

You will remain signed in to the app.

Under “Frequent sites” you should see “CAF Rainier Squadron”. Tap that to view the SharePoint website.

  1. Go to https://members.cafrainier.org​​​​​​​.
  2. Click Can’t access your account?
  3. Click Work or school account
  4. Follow the instructions
    • Email or Username is your Rainier Squadron e-mail address, FirstnameLastname@cafrainier.org (for example, johndoe@cafrainier.org)
    • You can choose to receive sign-in information to your personal e-mail address or your mobile phone.

Shared documents

Shared documents are files stored “in the cloud” on SharePoint. Everyone with access can see and edit them. If you create, edit, or delete a file, you do so for everyone.

You can view and edit documents in your web browser or using a PC/Mac or mobile app. You may also sync documents to your computer or mobile device so you can use them anytime, anywhere, even offline.

Follow the instructions above to sign in to the SharePoint website using a web browser.

All changes you make to files will be saved for everyone.

On Windows PC and Apple Mac, the Office apps — Word, Excel, PowerPoint — require a purchased version of Office or a Microsoft 365 (previously Office 365) subscription. If you do not have one, view and edit documents using a web browser (see above) – the experience is nearly the same.

To access the documents in Office, see below for instructions to sync them to your computer with the OneDrive app.

On Apple iPhone/iPad or Android phone/tablet, documents are accessed and viewed using the OneDrive app and edited using the Office app.

Download the free OneDrive app.

  • OneDrive allows you to view the files and choose which ones to sync to your device so you can use them at any time, even offline.

Download the free Office app.

  • Open a file in OneDrive and tap the Word/Excel/PowerPoint icon at the top to edit it in Office. The Office app will put it in its recent files list for future access.

The OneDrive app syncs our documents with your computer or mobile app so you can use them at any time, even offline. To safely un-sync the notebook from your device, expand the “un-sync” item below.

If you have Windows 10, your computer already has OneDrive. Otherwise, get OneDrive here.

Follow these instructions to add your Rainier Squadron account to OneDrive.

If you simply delete files synced to your computer or mobile device, you will delete them for everyone!

Follow these instructions to un-sync Rainier Squadron files from your computer or mobile device. You may then safely delete the app and any files that remain.

Notebook

The shared notebook is stored “in the cloud” on SharePoint. Everyone with access can see and edit it. If you add, remove, or change notes, you do so for everyone.

You can view and edit the notebook in your web browser or using a PC/Mac or mobile app. Using an app will sync the notebook to your computer or mobile device so you can use it anytime, anywhere, even offline.

Follow the instructions above to sign in to the SharePoint website using a web browser.

All changes you make to the notebook will be saved for everyone.

The OneNote app syncs our notebook with your computer or mobile device so you can use it at any time.

Download the OneNote app​​​​​.

  • If you have Windows 10, or if you have a purchased version of Office or a Microsoft 365 (previously Office 365) subscription, you may already have OneNote.
  • On Windows 10, you can get either OneNote 2016 or the “Windows Store” version of OneNote. Either will work. See Microsoft’s info about all versions of OneNote.

Once you’re installed, sync the notebook.

Go to the squadron notebook by either following the instructions above to sign in to the SharePoint website using a web browser, or by locating it in the OneDrive app. Double-click or tap the notebook to open it.

On Windows PC or Apple Mac, if the notebook opens in your web browser, click “Open in Desktop App” near the top of the window to open it in OneNote.

On a phone or tablet, the notebook should open in the OneNote app.

That notebook will now be available in OneNote, which will keep its copy in sync with the one in SharePoint. To safely un-sync the notebook from your device, see the item below.

Follow these instructions to close the notebook and remove it from your OneNote app. This will leave the notebook intact for others.
